REFUND & CANCELLATION POLICY – Challenge Wānaka Half & Aquabike

Refunds
  • If you want the option of a refund should you be unable to attend for any reason, you can choose to purchase ACTIVE Refund during registration. This optional coverage protects the full cost of your entry. Learn more below.
  • Athletes who do not purchase ACTIVE Refund at the time of registration are not eligible for a refund if they withdraw.
Cancellation Policy

If the Challenge Wānaka Sports Trust is forced to cancel the event due to circumstances out of our control (such as pandemics and natural disasters), athletes will receive a refund of 75% of the entry fee paid up to 5 months before the event. Refund of 50% of the entry fee paid up to 2 months before the event. Absolutely no refund within 2 months of the event date. All entries are non-transferable to other athletes or other years.

Transfers and Changes

All entries are non-transferable to other athletes or other years.

Individual Changes between disciplines (i.e. Half to Aquabike)

  • Up until 31 December 2025 any changes will incur a $25 fee plus additional cost if changing to an event with a higher entry fee (no refunds if changing to an event that has a lower entry fee).
  • 1 January – 20 February 2026 any changes will incur a $30 fee plus additional cost if changing to an event with a higher entry fee. Personalised bibs no longer available (no refunds if changing to an event that has a lower entry fee).

Team Changes

  • Up until 31 December 2025 permitted at no cost.
  • 1 January – 20 February 2026 any changes will incur a $30 fee.

Contingency

Challenge Wānaka reserves the right to implement the contingency plan in the interests of competitor safety (e.g. bad weather meaning event needs to be cancelled) but will not be held liable for any loss as a result of such a decision. In the event such a decision is made, if the conditions are still deemed to be unsafe, Challenge Wanaka has sole discretion, and may cancel the Event without obligation to refund entry fees.

ACTIVE Refund Program

Make your registration refundable by adding ACTIVE refund at the checkout. Receive a refund if you are unwilling or unable to attend this event for ANY reason.

Where can I submit a refund request?

Follow the instructions in the ACTIVE Refund email you received shortly after registering or visit refund.active.com/event

How much time do I have to submit my request?

Refund requests must be submitted no later than midnight forty-eight (48) hours prior to the activity start date.  

What do I need to make my claim?

You will need your reference ID from the ACTIVE Refund Information email. This is a separate 16 digit reference number. This is not your event registration number starting with R. 

Where can I view the terms and conditions?

Does it apply to a cancelled event?

No, any requests submitted due to event cancellation, postponement, or transformation to a virtual event are only eligible to receive a reimbursement of the ACTIVE Refund fee paid. The registration fee will not be refunded by ACTIVE Refund.

To receive a reimbursement of the ACTIVE Refund fee, the participant should submit a request or contact [email protected] no later than 48 hours after the activity date.

Can I purchase after I have registered?

No, ACTIVE Refund can only be purchased during registration. 

Does it apply if I transfer my registration or to another category?

No, ACTIVE Refund is strictly for participants that purchase it and for the category registered. It will not cover a transferred registration.
